Health and Safety Policy for Gardeners Monken Hadley

Gardeners Monken Hadley is committed to providing garden maintenance and landscaping services in a manner that safeguards the health, safety and welfare of our employees, clients, visitors and members of the public. This Health and Safety Policy sets out our approach to managing risks associated with gardening and grounds care and supports our aim of maintaining safe, well-managed outdoor environments.

Policy Statement and Objectives

Our objective is to prevent injury, ill health and damage to property arising from our work. We aim to identify and control risks linked to gardening activities such as hedge cutting, lawn care, planting, tree work and the use of machinery and materials. We will comply with relevant health and safety legislation and recognised best practice within the horticultural and landscaping sector.

Management accepts overall responsibility for implementing this policy and ensuring that adequate resources, instruction and supervision are provided. All staff, contractors and regular partners are expected to cooperate with this policy, follow safe systems of work and take reasonable care of themselves and others.

Responsibilities

Management is responsible for:

Ensuring that this policy is implemented, communicated and reviewed on a regular basis. Providing appropriate training, information, tools and protective equipment. Carrying out or arranging risk assessments for gardening tasks and ensuring that identified control measures are in place. Investigating accidents, incidents and near misses and implementing corrective measures where required.

Employees are responsible for:

Working safely and following the training and instructions provided. Using equipment and personal protective equipment correctly. Reporting hazards, defects, incidents and near misses to management without delay. Cooperating with any health and safety initiatives, inspections or investigations.

Risk Assessment and Safe Systems of Work

We carry out proportionate risk assessments for routine and non-routine gardening activities. These include tasks such as grass cutting, strimming, hedge trimming, tree and shrub work, use of ladders and access equipment, handling soil and waste, and application of horticultural products.

From these assessments we develop safe systems of work that specify the safest method of carrying out each task, the tools and equipment to be used, the personal protective equipment required and any site-specific precautions. Staff are briefed on these methods and must follow them at all times.

Training, Information and Supervision

We ensure all staff receive appropriate training before undertaking gardening tasks. This may include induction training, safe use of powered machinery, manual handling, safe use of ladders, basic first aid awareness and environmental protection. Additional specialist training is provided where required.

Information on site rules, access routes, fragile areas and special client requirements is provided to staff working on each garden or property. Supervisors monitor working practices and provide guidance, especially to new or less experienced team members.

Use of Tools, Machinery and Equipment

All gardening tools, including powered machinery, are selected, maintained and used to minimise risk. Equipment is inspected regularly and any defective items are taken out of service until repaired or replaced. Staff are instructed only to use machinery for which they are trained and authorised.

Guards, safety features and manufacturer instructions are followed at all times. Fuel, oils and other operating materials are stored, handled and disposed of safely. No unauthorised modifications to equipment are permitted.

Hazardous Substances and Horticultural Products

Where horticultural chemicals or other potentially hazardous substances are used, we identify and control the associated risks. This includes following safety data sheets, using the minimum effective quantities and applying products only in suitable weather and site conditions.

Personal protective equipment is provided where contact, inhalation or splashing risks exist. Substances are clearly labelled and stored securely away from children, pets and wildlife. Containers are sealed and disposed of responsibly.

Personal Protective Equipment

Appropriate personal protective equipment is supplied for gardening tasks. This may include safety footwear, gloves, eye protection, hearing protection, high-visibility clothing, helmets and respiratory protection where needed.

Employees must wear the equipment provided, keep it in good condition and report any damage or defects so that it can be repaired or replaced. Personal protective equipment is considered a last line of defence and does not replace safe working practices.

Manual Handling and Ergonomics

Gardening often involves handling soil, plants, tools, paving and waste materials. We seek to eliminate or reduce manual handling risks by using mechanical aids, team lifting and planning work to minimise unnecessary movement.

Staff are trained in correct lifting techniques and encouraged to take short breaks from repetitive tasks such as raking, digging or trimming. Heavy or awkward loads are assessed in advance and, where necessary, alternative methods are used.

Site Safety, Public Protection and Traffic Management

When working in gardens, shared spaces or roadside locations, we take steps to protect clients, neighbours, pedestrians and other road users. This may include clear signage, barriers, warning cones and safe storage of tools and materials.

Work areas are kept tidy to reduce the risk of trips and falls. Cables, hoses and equipment are routed or covered where people may pass. Vehicles are parked safely and reversing is controlled. Particular care is taken around schools, footpaths and busy residential streets.

Environmental and Weather Considerations

Weather and ground conditions are taken into account before and during work. In high winds, heavy rain, extreme heat, frost or snow, we may adjust tasks, reschedule work or modify methods to maintain safety.

We aim to work in a way that respects wildlife, existing planting and the broader environment, avoiding unnecessary disturbance and preventing contamination of soil and watercourses.

Accidents, Incidents and First Aid

All accidents, incidents and near misses are reported to management as soon as possible. We maintain appropriate first aid provisions and ensure that trained personnel or appointed persons are available within the team.

Accident details are recorded, and where necessary we review risk assessments and working methods to prevent recurrence. Clients will be informed promptly if an incident occurs on their property that may affect them.

Monitoring, Review and Continuous Improvement

We monitor our health and safety performance through site checks, feedback from staff and clients, and reviews of accidents and near misses. This policy is reviewed regularly and updated when legislation, guidance or our operations change.

All employees are encouraged to suggest improvements to health and safety arrangements so that we can continue to provide reliable, safe and professional gardening services in and around Monken Hadley.
